KWS introduces a new procurement structure. These changes in procurement processes and platforms for all employees worldwide are designed to ensure long-term efficiency and competitiveness.
When in January 2020 the new order platform Central Procurement Hub (CPH) was rolled out for KWS SAAT and KWS Lochow in Germany, KWS’ new procurement services faced a first reality test. The central procurement team, consisting of the Expert Hubs Procurement and the GTC Procurement, has grown from 5 to 45 colleagues since the end of 2018.
With the development of the team, our strategic procurement strategy, including the corresponding platforms and processes, was completely revised: Since early 2020, KWS now has its first worldwide procurement guideline (see infographic), complemented by the new ordering platform CPH. On this basis, the team now manages KWS’ global procurement activities.
And these activities are growing rapidly. While KWS spent around 300 million euros on external products and services in 2009, it was almost twice as much in 2019. With increasing value, the demand for transparency and coordinated procurement as well as the compliance requirements increased.
Millions saved in the first year
Purchases are now channeled uniformly via GLOBE Procurement. With success: The savings in the past twelve months alone have already been more than 4.5 million euros. To achieve this, the GTC team processes all orders for non-inventory-managed products centrally via CPH - from the first purchase request to possible complaint management. The three Expert Hubs Procurement (see “11 principles of procurement”) provide advice on strategic purchasing for KWS companies around the world, negotiate large-scale contracts and harmonize the global supplier system.
Ten countries are already using this full spectrum of procurement services. Including all German KWS companies, more than half of the world's employees already have access to the new Central Procurement Hub platform, which currently processes more than 75 purchase requests per day. In the first four months of 2020 alone, the value of orders processed via CPH was over 50 million euros.
Ordering in only six clicks
Understanding the new ordering platform takes a little time and customization, but the benefits are obvious. The system is tailored to the needs of medium-sized companies and enables a modern digital shopping experience through its connected catalogs such as Amazon Business or Mercateo. In the best case, orders only need six clicks.
But in such an early phase of the system introduction, colleagues naturally experience one or the other challenge. Maik Müller, Head of GTC Procurement and IT: “688 active users are already a good indicator of the platform's acceptance. But we also know that not everything is working properly. That is why we take feedback from our colleagues very seriously and work closely with SAP to solve problems.” At the same time, the procurement team is also learning. Monthly updates and new functions improve system stability and user friendliness.
Next destination: Eastern Europe
From summer on, the system will also be launched together with the ONEGLOBE transition Go-Lives in Eastern Europe. When the last transitions in Europe are completed there in early 2021, these colleagues will receive access to this new, now stable, procurement system. |

Three Questions to GLOBE Procurement
1. What were the biggest challenges faced by GLOBE Procurement so far?
Peter Hagenow: KWS with its 160-year history has not had a central procurement system. At the same time, many of our colleagues are new to KWS and even the industry. This means that we had and still have to build up the necessary trust and networks with our colleagues around the world, which takes time. KWS colleagues around the world better understand the need for a professionalized procurement system and that the increasing needs for transparency, compliance and company-wide efficiency sometimes may mean more work for them, not less. Consequently, we often still purchase high value goods or services with no or late involvement of our team. In parallel, our own procurement associates and experts increasingly understand the specific needs of our business and we are becoming better integrated into the entities that we work with. Besides these structural changes, deploying a new technical platform like Central Procurement Hub of course comes with its very own fair share of challenges. We are trying hard to build confidence amongst users and train colleagues on the system.
2. What do you advise colleagues who test the new Central Procurement Hub for the first time?
Maik Müller: To me, two things are really important: Training and preparation. Please participate in one of the training sessions during the Go-Live of your entity or register for one of the many refreshers. Spending one hour in our training will make sure you understand the full capability of the platform and how to really make use of our catalogue and free-text order features. You can easily register for our upcoming training on the procurement intranet pages (under Order Management). In a second step, please request the creation of your User-ID via the Service Portal. Before using Central Procurement Hub for the very first time, we need to properly configure your settings. Last but not least, I can give hints about the advice and material that we provide on our intranet pages – from video tips to the full instructions.
3. Can you give a short outlook on the future of procurement at KWS?
Peter Hagenow: So far we have focussed a lot on the design of our policy and the development of our technical platform. As these are now stabilizing, we will shift our focus to other strategic procurement topics. At the moment, KWS interacts with a network of more than 26,000 suppliers! This is too large to handle in a strategic manner. So we have started to look at products and services that we spend a significant share of our budget on and are working to select key suppliers for these products. We will work on closer partnerships with these suppliers, realizing both long-term relationships and preferential conditions. |

Expert Hubs und GTC Team
Global Transaction Center
The Global Transaction Center is responsible for purchase operations at KWS. Their task is to professionalize the order management process, to manage daily purchase and supplier requests and to ensure continuous improvement to achieve efficient best-in-class processes. They offer a full range of services from supporting in getting offers, processing order confirmations, and managing claims.
Expert Hubs
Unlike other GLOBE functions, procurement does not have a network of Business Partners. The reason lies in the nature of Procurement Experts, who need to have an intensive know-how about a certain product category, such as technical equipment, and advise on this category globally, rather than a regional or local focus. Our three Expert Hubs advise with a focus on specific products on service types:
- COM I – Indirect Goods & Services - Responsible for all strategic procurement activities for goods and services that are required for everyday work, like office material, cleaning services but also consulting, IT needs, marketing or HR services and the like.
- COM II – CAPEX, Technical Goods & Services - Responsible for all strategic procurement activities for investment projects (CAPEX), technical equipment and machines (e.g. harvesters), laboratory equipment, R&D services but also gardening supplies, tools, health and safety needs and the like.
- COM III – Direct Material & Services – Responsible for all strategic procurement activities for material and services that are used in production or are going into the final products such as treatments, packaging but also logistics and waste. The expert hub also drives the standardization of contracts for seed multiplying. |
